Job purpose The Community Capacity Builder is a key position responsible for the recruitment, training, supervision and evaluation of volunteers for all aspects of West Broadway Community Ministry and St. Matthews Maryland Community Ministry. Context This part-time term position (30 hours per week) is shared between West Broadway Community Ministry and St. Matthews Maryland Community Ministry. The work involves three volunteer populations: o community volunteers who also access services, are in need of encouragement, mentorship, skills training and supervision o mentoring volunteers who are from the wider community and support community volunteers o temporary volunteers on short term projects or with short term goals, including student practicums Volunteers are involved in every aspect of the ministries, including: o o o o o o daily services such as hospitality, compassionate listening, food distribution, cleaning programming (including occasional and on-going) governance (Board, Committees) special events (such as fund raising) public relations and communications administration Duties and responsibilities Volunteer Recruitment • Actively promote the need for volunteers whenever possible • Identify new sources of volunteers • Advertise volunteer opportunities in newspapers, bulletin boards, list serves, websites, Volunteer Manitoba, church bulletins and newsletters • Collaborate with the Community Ministers to identify specific volunteer needs • Respond personally and promptly to all individual volunteer inquiries • Develop and implement an intake and interview protocol for potential volunteers to ensure the best match between the skills, qualification, and interests of the volunteers and the needs of the ministries • Screen and interview volunteer candidates according to accepted screening standards and practices Volunteer Management & Supervision • • • • • • • • • • • Provide a job description for each volunteer position Coordinate the scheduling and placement of volunteers Provide a process for tracking attendance and absences of volunteers Manage a volunteer schedule that reflects expected attendance as far into the future as possible and share schedule with Community Ministers and others in a timely fashion Ensure that volunteers receive the appropriate level of supervision Monitor the work and performance of volunteers and provide real-time supervision and feedback to volunteers as appropriate Provide input into policies and procedures relating to the drop-in and other programs and ensure volunteers are complying with them Monitor the volunteer environment for health and safety levels and report any concerns immediately to the Community Minister or others as appropriate Ensure situations of conflict or disrespectful behaviour involving volunteers are addressed Oversee and maintain volunteer data base for tracking volunteers Prepare and submit documentation to EIA for volunteers receiving benefits Page 2 of 4 • • Conduct reviews and evaluations with volunteers and file documentation Reassign or terminate volunteers as needed Volunteer Retention • Provide support for all volunteers • Follow-up when volunteers are absent • Provide a way for volunteers to evaluate their placement • Ensure each volunteer has a clear, defined role • Evaluate programs and services delivered by volunteers and recommend and/or implement improvement as necessary • Plan and implement formal and informal volunteer recognition activities to recognize the contribution of volunteers • Provide volunteers with documentation of service as requested • Provide volunteers with service recognition letters for defined milestones Volunteer Training • Track and arrange for volunteer training • Develop and provide standardized training for all volunteers • Identify skill gaps and organize training to address these gaps • Ensure mandatory training such as Food Handlers is provided • Provide orientation to the Ministry and to the specific role for new volunteers Communication • Prepare written statistical and narrative reports as requested for Community Ministers and Boards • Attend Pastoral/Care Team meeting on an occasional basis • Keep volunteers informed about policies, practices and developments in the life of the Ministries • Provide volunteer content for website, social media, newsletters and so on as requested • Ensure commitments made to funders in grant proposals are carried out and reported on appropriately • Provide documentation and reports necessary for grants received Conduct • • Act as a representative of West Broadway and St Matthews Maryland Community Ministry and their mission with all job related contacts Adhere to the Respectful Behaviour and Harassment Policies of each Ministry Qualifications Qualifications include: • Education or experience in the area of Volunteer Management or Adult Education • Commitment to social justice and the empowerment of individuals positively interact with a variety of people with tact, poise, diplomacy and professionalism Ability to handle sensitive and confidential information with integrity and professionalism Task orientated, strong organizational skills combined with the ability to work independently and as part of a team be comfortable working in a faith-based organization* Working conditions This is a 30 hour a week, part-time term position, although it requires flexible hours including some weekend and evening responsibilities. Work related events and meetings may occur outside normal working hours. Salary of $18/hour. This term position will last for a maximum of 55 weeks, but we reserve the right to terminate the position with 2 weeks’ notice if the incumbent decides to return early or if the availability of our funding changes. *West Broadway and St. Matthews Maryland Community Ministries are operated by the Anglican and United Churches. However, the Community Capacity Builder work is secular in nature and does not require a faith commitment. Page 4 of 4
