Speros Toshiba Phone System Implementation You have ordered a new Toshiba VIP Edge hosted business telephone system from Speros. This document is to provide you with a game plan on what to expect between now and when you start using your new system. Bandwidth (has been) / (will be) ordered for you, there will be forms for you to sign. This circuit must be delivered before we can begin installing your new system. o The carrier is (Comcast) / (Windstream) / (Other ___________) o The system will require _______ static IP addresses If needed Speros will order a separate copper fax which will also have forms to be signed if the carrier is a different carrier from the bandwidth carrier. Speros staff will initiate your order with Toshiba using their client portal o Speros staff will review your existing phone bills o We will walk you through using the portal to get you access for future management of your account o We will contact you to select your new private phone numbers, DIDs Phone Functionality o We will send you some forms to fill out to begin the programing process o When we receive your forms will meet with you to go over the features and functions you want on your new phones Data functionality and integration with the phone system o If Speros is your IT vendor we will coordinate with your staff to ensure your 100% satisfaction o If you are using a third party for your IT services Speros will need an introduction. We will provide them with a comprehensive list of the IT requirement for your new phone system We will then work closely with them to get your phone system installed on time. Along with the Carriers, Toshiba, and yourself we will schedule the following tasks o Inspection and testing of your office wiring to ensure optimal performance of your new system o Bandwidth installation o Wiring adjustments o SonicWALL installation OR configure your existing business class firewall o Power Over Ethernet Switch (POE) installation and programming o Initial system installation o Training date o Go live After scheduling the process we will be doing a number of things in the background o We will preprogram system o We will prepare your phones Unpack and test the phones Place the required E911 Stickers on the phones Program phones o Coordinating the installation of your new bandwidth with the carrier (912) 354-8900 – SPEROS.COM – 2141 Rowland Ave, Savannah GA 31404 Speros Toshiba Phone System Implementation (Continued) When your new bandwidth is delivered by the carrier the installation of your phone system can begin o Wiring adjustments identified during the survey will be completed o We will Install and configure the network equipment Firewall POE Switches o Install phones o Setup functionality Voice mail Call Manager Unified messaging Auto Attendant Finally we will train your staff and you will be ready to enjoy your new phone system There will be a follow-up meeting a few weeks after the installation to get feedback on how the process went and what else Speros can do to assist you.
