Relationship between Speed Code and Combo Code This reference sheet is to help provide clarity between Speed Code and Combo Code and how they work together. Chartfield String Refers to the commonly used Financial accounting chart fields used in PeopleSoft. The Chartfield String contains 7 data elements to classify transactions. Account Fund Code Department Program Code Class Field Project/Grant Sponsor Speed Code = Combo Code There are currently two coding methods used as a quick way to identify an entire chartfield string. Speed Code = Chartfield String = Combo Code (Speed Type) U of A Customized Code in PeopleSoft Used by Financial Services & Campus Solutions System Generated Code in PeopleSoft Used by Human Capital Management REMEMBER! There are 3 different PeopleSoft applications used at the U of A. Campus Solutions (CS) Financial Services (FS) Human Capital Management (HCM) Although these applications share some information, each application operates independently. Combo Codes are unique to HCM. CS and FS do not use combo codes. Every Chartfield String must have a corresponding Combination Code used in HCM. A Speed Code is created by Finance based on the Chartfield String and is used in FS and CS. If a new Chartfield string is required, then a new Speed Code must be created in FS to reflect the new Chartfield string. The related Combo Code must also be created in HCM. ~1~ Relationship between Speed Code and Combo Code EXAMPLE 1: Speed Code 06912 = Combo Code 000032482 In PeopleSoft Financial Services (FS) and Campus Solutions (CS) Speed Code Chartfield String Account 06912 Fund Code Department Program Code Class Field 210 360500 0 0 Project/Grant Sponsor Account Code is manually entered. The person entering the transaction needs to know the type of transaction in order to assign the appropriate account. Same values used for each chartfield element in the Chartfield String In PeopleSoft Human Capital Management (HCM) Combo Code Chartfield String Account 000032482 Fund Code Department Program Code Class Field 210 360500 0 0 Sponsor Payroll Default Account Code ‘500001’ is entered. NOTE: Only current active speed codes in FS can be viewed from HCM The system assigns the appropriate account based on the type of transaction. A: There is search functionality within PeopleSoft HCM that allows you to use the speed code to find the chartfield string. The chartfield string data is then used to find the combo code. Refer to the ‘Crossreferencing Speed Type to Combo Code’ job aid. You can also run the Salary and Benefit Expenditure report, which provides the speed code as well as the corresponding combo code, provided the chartfield values in the speed code have not changed. Q: How do I make the connection between Combo Code in HCM and Speed Code in Finance? A: The View GL Funding Page is used to gather a list of the combo codes applicable to your department and employees. Although this will not provide a translation from speed code to combo code, it will give you the combo codes applicable to the employees within your department. How to get this list: Once you have navigated to the View GL Funding page, search for your department id. A list of the employees belonging to the department id entered will appear. This list will contain the corresponding combo code and chartfield string. Export this information onto a spreadsheet to use as a quick reference guide. Q: What is the best way to find a matching combo code and speed code? A: There is search functionality within PeopleSoft HCM to use the speed code to find the chartfield string. The chartfield string is used in another search function to find the combo code. Refer to the ‘Cross-referencing Speed Type to Combo Code’ job aid. Q: Why can’t the Speed Code be converted to the Combo Code? A: The Combo Code is a system generated code that cannot be overwritten. This is PeopleSoft functionality that cannot be customized. Q: Will speed codes still be used in Finance and Supply Net? Will we have to remember both Speed Code and Combo Code? A: Yes. PeopleSoft HCM uses Speed Codes as search criteria only and are not stored as part of a transaction within the HCM application. It basically provides a lookup into PeopleSoft Finance. All other applications where speed codes are used, such as Supply Net and PeopleSoft Finance, will continue to use Speed Codes. ~3~
