Troop 118 - RaceFest 2012
What is it?
This is the 9th annual RaceFest at SouthPark - a 10K and ½ Marathon race
sponsored by the Charlotte Running Company. More information can be found

What will we do?
Troop 118 has been offered $1,500 to staff 7 Aid Stations around the race circuit
filling cups with water and Gatorade (half full) then handing them out to runners
as they pass by. This money will help satisfy the pledge our Troop has made to
the BSA Mecklenburg County Council Capital Campaign to improve the facilities
at Camp Grimes and Camp Belk.
When Is It?
RaceFest is on Saturday, April 14th. The race starts at 7:30am and will last
approximately 3.5 hours until 11:00am. Aid Station Leaders must be
at their station no later than 7:00 am. All other volunteers
should arrive starting at 7:00 am and no later than 7:15 am.
Streets are closed for the race and traffic becomes challenging. All volunteers
should arrive at their assigned Aid Station between 7:00 and 7:15 am.
Who is The Event Open To?
This event is open to all members of Troop 118 and their families and friends.
Except for the early hour, it is easy way to raise money for a worthy cause and
have some fun with other Scouters and their families.
The Aid Station Leader’s Responsibility
A Patrol Leader (or someone they designate) will be in charge of each station.
The Aid Station Leader will organize his volunteers to:
♦ Setup the tables in the road up – space them about 20 yards apart
♦ Setup the trash bag box about 20 yards down course from the last table
♦ Fill cups with Gatorade
♦ Fill cups with water

Our task is to hand cups of water and Gatorade to runners as they pass by

There are 7 water stations along the race course. Early in the morning of April
14th folding tables, trash bags and trash boxes that the bags fit into as well as
plastic jugs of water will be delivered to each race Aid Station.

Aid Station workers at station #1 are expected to move to
station #6 after the runners have passed station #1.
Aid Station workers at stations #2 and #3 are expected to
move to the Finish Line after the runners have passed.
The New Scout Patrols will be distributed as necessary across the 7 stations.
On Monday April 9th, Mr. Newman will provide each Aid Station Leader with
their station’s supply of Gatorade concentrate, stirring sticks, 3 Gatorade coolers,
cups and banners. If the Gatorade, cups and banners are not available for
distribution on April 9th Mr. Newman will deliver these items to each Aid Station
early Saturday morning April 14.
The night before the race, The Aid Station Leader should fill two coolers with
Gatorade concentrate and water. The race sponsor specified that we should use
only enough of the concentrate to make it half-strength. The third cooler will
be used to put water in then fill cups by “dipping” them into the water.
The day of the Race, the Patrol Leader should plan to be at their station at
7:00 am with their Gatorade and water coolers.
All Scouters should wear the Class B uniform. Bring a camp chair if you like.

The Patrol’s Responsibility After The Race
There will be a Charlotte Mecklenburg police cruiser that is the “trail-runner”
pace car. After the police cruiser passes by your station, the race is over and no
other runners are expected.

When the Police Cruiser passes your station signaling the end of the race, the Aid
Station workers need to:
♦ Break down the tables and set them at the curb
♦ Bag up all trash and set at the curb
♦ Empty the Gatorade cooler and set at the curb
♦ Set all Diamond Spring water jugs (full or empty) at the curb
Please do not take the any of the Diamond Springs water jugs –
these are not trash
♦ Generally police the area and make sure it’s free from trash
♦ Take home any remaining cups, the coolers and Gatorade Concentrate
then return it to the Troop Room on Monday
When all cleanup is done, some of the Aid Station workers should go to
the finish line at South Park mall to ensure adequate staffing at that
Aid station.
The Parks and Recreation Department will come by later to pick everything up

FERNCLIFF & PROVIDENCE.

SERVES HALF MARATHON ONLY! SET-UP ON SIDEWALK AFTER
TURNING ONTO OLD PROVIDENCE.
